Home services

A home services company replaced its subscription stack with one platform it owns

Scheduling, quoting, invoicing and customer updates ran in four separate subscriptions with no shared record. The rebuild put all four behind one login with the job as the single record everything hangs off.

    The short answer

A home services operator was running scheduling, quoting, invoicing and customer notifications in separate subscriptions, with staff retyping the same job into each one. SpinFlow rebuilt the work as one platform: one job record carrying the quote, the schedule, the invoice and the customer's status page. Delivery ran inside the standard two to eight week window, the public website stayed live throughout, and the business now pays one monthly subscription instead of four.

    WHAT IT REPLACED

    The stack that went away.

    • A standalone scheduling and dispatch subscription
    • A separate quoting tool with its own client list
    • An invoicing product that did not know about jobs
    • A notifications add-on for customer updates

    The situation

Every job existed four times. It was booked in the scheduler, quoted in the quoting tool, billed in the invoicing product and explained to the customer by hand. Nothing reconciled automatically, so somebody had to be the integration.

The cost was not only the subscriptions. It was the time spent retyping, the arguments over which number was correct, and the jobs that slipped because the person who knew about them was out.

    What we built

One job record. The quote, the assigned crew, the schedule, the invoice and the customer-facing status all read from the same row, so approving a quote creates the job and the invoice without anybody opening a second product.

A customer portal so the client can see where their job stands without phoning the office, and role based access so field staff see their work and nothing else.

Reporting that answers the questions the owner actually asks: what is quoted, what is scheduled, what is unpaid, and what each crew turned over.

    How the build ran

It started with a discovery meeting with founder Matthias Moore, then a written scope and a fixed quote before any build work began.

The existing public website kept trading while the platform went in behind it. Going live was a switch of where staff log in, not a migration weekend.

    What we can show you

On a call we will walk the live admin, the quote document the client receives and the invoice trail, with client identifying detail removed. Named references are available with that client's permission.

We publish no invented percentages on this page. If a figure is not one we can put in front of you with a screen behind it, it does not belong in a case study.

    WHAT YOU RECEIVE

The paperwork side of a build like this.

Every engagement starts with a written quote document. This is the same layout a client receives, with the client detail removed, so you know what you are signing before you talk to anybody.
